Hot desking meaning: first come, first seated

Hot desking means nobody has an assigned desk. You take whichever one is free when you arrive, so a company can fit more staff than desks. Dictionaries label the word British, and it also goes by desk sharing.

What hot desking means

Hot desking meaning at work

Hot desking means working in an office with no assigned seats. You find a free desk when you arrive and work there until you leave. The point is to save space.

If a fifth of the staff are on vacation, out sick, at a client or working from home today, the company only needs desks for the rest.

Dictionaries mark the word as British. Desk sharing means the same thing.

Hot desking and hoteling

Hot desking is first come, first served, while hoteling means booking a desk for a set time, often through an app. Plenty of offices mix the two. The app shows a desk as free, and you get there to find someone’s jacket on it.

Why offices hot desk

Fewer desks than people

Hybrid work made hot desking ordinary, because an assigned desk sits empty on the days its owner stays home.

Some companies went back

Some companies brought back assigned desks along with five office days. One of the largest US employers did both from January 2, 2025. Its two US head offices were among the places that got their assigned desks back.

A full return to office undoes the case for hot desking. If everyone is in every day, everyone needs a desk.

Hot desking day to day

The morning desk hunt

Free desks run out midweek, because hybrid workers all pick the same office days. In December 2025, Tuesday attendance in 10 cities reached 66.0% of pre-pandemic levels, the busiest single day since the pandemic.

Every morning starts with fixing the chair. The last person to sit in it was a foot taller than you.

Locker life

With no drawer of your own, you keep everything in a bag or a locker. Some offices give each team its own zone, sometimes called a neighborhood. Inside it, the desks are still first come, first served.

Without team zones, your work wife no longer sits across from you unless one of you books ahead. A cubicle with your name on it starts to sound like a luxury.

A floor update with hot desking in it

#office-leeds, Monday 7:58 am

Morning all, starting today floors 3 and 4 move to hot desking shared desks, so please clear your desk by 6 pm. Lockers are by the elevators, keys at reception. Floor 4’s standing desks can be booked in the app, the rest are free to grab.

Making hot desking bearable

If your office has a booking app, book early. Agree on team days with your coworkers so you can sit together. On your WFO days, get in before the Tuesday rush or take the seat by the printer.

Hot desking is the term in our corporate jargon dictionary with the most furniture in it, and none of that furniture is yours.

Questions about hot desking

What is the purpose of hot desking?

To save space and rent. On a hybrid schedule, many desks sit empty on any given day, so a company can lease a smaller office and give staff whichever desk is free.

What are the disadvantages of hot desking?

You set up from scratch every morning and carry your things home every night. You may not sit near your team, and on the busiest days there can be fewer free desks than people who need one.

What is another name for hot desking?

Desk sharing or unassigned seating. Hoteling is the booked version. You reserve a desk for a set time, usually through an app, instead of taking what's free on the day.

Is hot desking still a thing?

Yes, and more offices are giving up assigned desks. Between 2023 and 2024, the share of companies in the Americas that give every employee a desk fell from 56% to 40%. The same survey expected it to reach about one in three by 2026.

How does a hot desking system work?

Nobody has an assigned desk, so you sit at whichever one is free when you arrive. When you book a desk ahead for a limited time instead, that's called hoteling.

What do you need for hot desking?

A bag or a locker, since there's no drawer of your own, and the desk booking app if your office has one. Book early on busy days, because free desks run out midweek when hybrid workers all come in.
