Action items meaning: the tasks a meeting hands out
Action items are the tasks agreed in a meeting, each with one person's name and a due date beside it. They're the part of the minutes people read afterward, usually to check whether their name is on the list.

What counts as an action item
One task, one name, one date
An action item is a task from a meeting that has one owner and a due date. “Look into pricing” is a topic, and “Priya: send three pricing options by Friday” is an action item.
Without an owner, “look into pricing” is back on next week’s agenda.
A decision is not an action item
A decision changes nothing until someone is named to act on it. “We’ll move the launch to May” needs “Sam: tell the client by Thursday”, or the client finds out in May.
Minutes with ten decisions and no action items record ten things everyone agreed to and nobody has to do.
Where action items go in the minutes
Action items go at the top of the minutes, one per line, owner first. Send them within a few hours, while people still remember agreeing to them.
Action point, the British version
British offices often say action point, and some turn action into a verb, as in “please action this”. In Australia, 30.8% of office workers use “action this”, which puts it ahead of “circle back” among the corporate jargon people there admit to.
Where action items go missing
The action item with everyone’s name
An action item given to the whole team rarely gets done, because each person waits for the others. Put one name on “everyone to update their tickets”, even if that person’s only job is to chase the rest.
The follow-up meeting as an action item
Many meetings end with one action item, which is to book another meeting. 77% of people say their meetings often finish by agreeing to hold a follow-up.
Give a topic that keeps coming back a regular cadence, so nobody has to book it again. One that nobody wants to settle gets a promise to circle back, which is a follow-up with no date.
Who chases the list
Whoever took the notes reads the action items back in the first five minutes of the next meeting, and each owner says done, late or dropped. A level set on what was agreed last time saves the room from agreeing on it again.
A QBR does the same once a quarter, starting with how many of last quarter’s action items got done.
Action items written by software
Notes the meeting takes itself
Google Meet’s note-taking feature writes a summary and a “Next steps” section that lists each task and who it’s assigned to. It marks each decision Aligned, Needs Further Discussions, Disagreed or Shelved.
Shelved is the honest one.
The notes go to everyone invited
Depending on the host’s setting, the notes go to every guest on the invite, including people who never joined. The feature is recommended for meetings from 15 minutes up to eight hours.
An overdue action item from those notes gets a polite touch base a week later, even if its owner skipped the call.

Questions about action items
What are action items in a meeting?
Action items are the specific tasks agreed in a meeting, each given to one person with a due date. A decision says what will happen, and an action item says who does it and by when.
How do you write action items in meeting minutes?
Give each one its own line with the owner's name, a verb, the task and a date, as in "Leo: send the revised shift schedule by Wednesday". Put them at the top of the minutes and send the minutes out the same day.
What is the difference between an action item and a task?
An action item is a task that came out of a meeting or a report. Once it has an owner and a date, it goes on that person's task list like any other job.
What is another word for action item?
Action point is the other word for action item, and it's the usual one in British offices. Next step, follow-up and to-do also work, as long as each keeps one owner and a date.
Can you give me an example of an action item?
"Dana: book a room for the March offsite by the 14th" is an action item, because it has one owner, one task and a due date. In board meeting minutes, one might read "Treasurer: circulate the revised budget before the March meeting".
